Financial Documents

/finance /finance/invoices/:id finance.manage

The Documents side of Finance is where you create and manage every kind of financial document. Each document type is its own tab โ€” and its own detailed page below, covering the list view (columns, filters, toolbar), how to create one step-by-step, and what it affects. Payments live under Receivables & Payables.

How to open it: top navigation โ†’ Finance โ†’ choose the Orders, Invoices, Receipts, Credit notes, Expenses or Delivery notes tab. Orders are the spine the rest hang off โ€” start there.

The document types

๐Ÿ“‹

Orders

Sales & purchase orders โ€” the spine a deal's invoices, payments, dispatch & profit hang off.

๐Ÿงพ

Invoices

Sales invoices โ€” the full myDATA editor, list columns, Sync from myDATA, the mD status.

๐Ÿงพ

Receipts

Proof-of-payment documents, including those issued from the POS.

โ†ฉ๏ธ

Credit notes

Credits/refunds that offset an invoice.

๐Ÿ’ธ

Expenses

Business costs, categorised โ€” Sync from myDATA, supplier/VAT search.

๐Ÿ“ฆ

Delivery notes

Goods dispatched, linked to the dispatch/warehouse flow.

All document types share the same editor and the same myDATA behaviour โ€” the Invoices page documents that editor in full; the other pages focus on what's specific to each type.

The totals breakdown (every final document)

Every customer-facing final document โ€” quotes, invoices and their PDFs/exports โ€” now foots with the same explicit five-line totals block, so VAT and any discount are never hidden inside one number. The five lines are:

LineWhat it shows
PriceThe net subtotal, after any per-line / per-customer discounts.
DiscountThe order-level paid-upfront (cash) discount only (per-line discounts already show on each row).
Price after DiscountPrice โˆ’ Discount = the net taxable base.
VATVAT calculated on the post-discount net.
FinalPrice after Discount + VAT = the grand total the customer pays.

The block is the same on the in-app preview and the generated PDF, and it foots (the lines add up), so a customer can always see exactly how the total was reached. The paid-upfront discount line is driven by the resale pricing engine's cash-discount rule and flows from an accepted quote through to its invoice.
